Administrative/Legal Assistant : Commercial Law Group : Office of the General Counsel
The role of the Administrative Assistant is to provide administrative support for the Commercial Law Group in the Office of the General Counsel. The successful candidate will work alongside the Partners and Senior Managers to provide administrative support which includes revising/formatting contracts, comparing documents, converting to/from PDF, drafting correspondence, email and calendar management, expense reporting, travel arrangements and reporting using the firms resources/software. The selected candidate will be detail:oriented, anticipatory, organized and able to work independently or on a team in a fast:paced environment while managing confidential information. Also, the position requires a commitment to work with lawyers on a variety of unique tasks, including assistance with the firms partnership and corporate filings and maintenance, regulatory filings, various electronic due diligence searches, freedom of information requests, compiling closing books and other matters. The work that our Commercial Law Group undertakes is significant and busy and there will be many opportunities for the person who fills this positon to be involved in demanding and challenging work. We are looking for somebody who is not afraid to try new things with the support of our team. This position will be based out of Toronto.
Responsibilities will include:
:Manage Partners Outlook schedules with respect to business:related activities, travel, etc.
:Coordinate internal/external meetings as requested.
:Document formatting/revising using Word, Workshare compare, PDF
:Assist with managing the Commercial Contract Management Tool and generating monthly reports;
:Manage firm compliance/employee registration and license renewals the AGCO
:Creation of presentations using PowerPoint;
:Expense reporting, time entry
:Support the agile workplace including location and reservation of appropriate space and other required resources 13;

:Minimum 3 years experience supporting multiple executives, in a professional, fast:paced and deadline:driven environment;
:Exceptional commitment to service and continuous improvement;
:Ability to deal with highly:confidential information;
:Demonstrated aptitude to prioritize tasks based on comparative importance and urgency;
:Ability to work with minimal supervision and direction;
:Excellent verbal and written communication skills;
:Strong attention to detail;
:Effective decision:making ability;
:Confident communication and active listening skills are critical;
:Excellent interpersonal skills and a demonstrated ability to build effective relationships and work in a team environment;
:Demonstrated enthusiasm for continuous learning relevant to the role;
:Advanced level knowledge of Microsoft Office (Word, Excel, Outlook, PowerPoint) 13;
