The Executive Assistant (EA) will be required to provide confidential and discretionary support to a Vice President. The successful candidate must have experience in a fast paced, dynamic environment where a high degree of professionalism, confidentiality and flexibility are required. Positive interactions with key stakeholders such as the Rogers Executive team, Employees and our Customers is a critical requirement of this role.
The individual is a pro:active performer that demonstrates excellent initiative and judgment on a regular basis. The ability to deal with ambiguity and handle changing and competing priorities is a must. The role requires willingness to work odd and extended hours when needed as well as be on call on occasion.
This position will be located at 333 Bloor St, Toronto
-Strategically manage and plan a Vice Presidents day to day activities, meetings, guests, calendaring, emails, phone calls, commitments, appointments, expenses, etc., to facilitate the most efficient use of the leader’s time.
-To support the Vice President’s direct reports in various activities including, but not limited to, calendaring, expenses, and the administrative onboarding of new staff.
-Demonstrates solid judgment in acting as the gatekeeper around a Vice President’s priorities and appointments.
-Technologically savvy and proficient with the use of smartphones, tablets, laptops, digital/web collaboration tools and other tools.
-Advanced ability to use time management and office workflow tools such as MS Outlook, MS Office, Sharpoint and Oracle.
-Maintain all of the leader’s records and files including the contact/address book in an organized and efficient way.
-Coordinate and manage special projects, team meetings or events with focused attention to detail.
-Provide assistance on ad:hoc business requests as needed.
-Work appropriately and in a timely fashion with the departments who handle communications and corporate communications, press releases and other media type processes.
-Leads by example to work effectively and collaboratively with the other executive assistants in the organization.
– Minimum of 5+ year of previous experience working with Senior Executives is a must.
– Excellent interpersonal and communication skills, both verbal and written.
– Proven ability to work effectively under pressure in a fast:paced environment.
– Willing to work flexible hours and be on call to meet challenging and changing deadlines.
– Strong organizational skills with a proven ability to prioritize.
– Demonstrated business professionalism, respect for confidentiality and appropriate handling of sensitive information.
– Advanced skills in managing calendars in MS. Outlook as well as experience in office workflow and productivity tools such as MS Office (PowerPoint, Excel, Sharepoint) and Oracle.
– Completion of post:secondary education is an asset.
