Provide a confidential administrative support to the Vice President. Accomplish complex administrative tasks, which require a thorough comprehension of the business activities and practices. Accomplish various tasks which do not necessary have clear instructions. May be required to manage situations or solve ambiguous problems requiring a good judgment.
In your role, you will:
Manage the agenda, e:mail and correspondence
Ensure the follow:up of the files entrusted to you by carrying out reminders, research and data collection
Oversee planning, coordination and organization of meetings by inviting participants, confirming attendance, drafting agenda and preparing documentation
Ensure the logistics of meetings (reservation and layout of the room, handing over documentation)
Plan for agendas according to guidelines, timelines and priorities
Organize and track trips (booking, route planning, accommodation, etc.)
Prepare expense accounts and forward them to the accounting group
Maintain confidential files and folders
Act as a liaison between high management, management, employees, external bodies and the public
Produce letters, documents, presentations, reports and graphics that require an extended knowledge of several office software
Compile and update data for various reports on the department activities
Recommend process improvements
Ensure that the files are up to date, verify and approve the current service expenses and update financial documents
See that requirements and internal guidelines are respected
See to the filing system and document management, including confidentiality, integrity
Ensure follow up on activities and files of his/her supervisor
Receive, forward and/or filter incoming calls and follow up on various information requests pertaining to the department
Transfer incoming calls to the proper employee.
As our ideal candidate,
College Diploma in office management or the equivalent
More than 8 years of relevant experience or equivalent combination of education and experience
Extended knowledge of computer applications, word processing, spreadsheet, database, and presentation software
Bilingual, English and French, spoken and written (perfect command of terminology, syntax, grammar and punctuation.)
