Reporting to the Director of Operations, planning and reporting for the Marketing and Sales Support (MSS) team, the Operations Specialist role focuses on providing foundational support to the daily running/management of the department.

Interaction and collaboration across the MSS organization as well as with other business units in DMS is required and includes, but is not limited to, Finance, Technology, Talent, Business Services and Enterprise Strategic Initiatives.

Key responsibilities:

General operations

:Help to facilitate the adoption and sustainment of firm:wide policies and processes across MSS, including related communications, training and monitoring
:Act as first point of contact for Coupa, including interactions with Finance
:Maintain MSS Outlook distribution lists
Reporting

:Proactively review, track and prepare delinquent time reports, including interactions with Finance
:Advise of team changes to key stakeholders on a timely basis
:Facilitate the collection, reporting, analysis and distribution of the quarterly donation tracker report for leadership
:Manage the tracking of Community Investment Fund submissions, decisions, and payments
Budgeting and planning

:Support overall MSS leadership team with annual planning process, which may include the development of templates and the collection and collation of materials
:Track and monitor spending for the management and operations portfolios within MSS
:Assist with the development of ad hoc/future departmental budget/planning related needs and tools e.g., templates, tracking, etc
CMO support

:Assist with the creation and finessing of presentations, dashboards and communications of the CMO e.g. board reports, MPC presentations, CEO briefings
:Support the drafting, editing and translation of communications
Community Investment Fund

:Manage the tracking of Community Investment Fund submissions, decisions, and payments
:Interact with the Corporate Responsibility team as required on shared/related activities
Talent

:Take the lead with the project management of Town Hall calls, including but limited to room and IT bookings, translation, and myDeloitte postings
:Project manage MSS:wide social events in Toronto, interacting with others as required
Project management : special projects

:Overall project management of firm:wide market impact campaigns, liaising across MSS, FCC, firm management, other departments and external vendors as required 13;

:Minimum of five years of experience in a marketing/sales support environment with interest/experience and aptitude for general business operations
:A minimum of a Bachelors Degree in communications, marketing or business
:Demonstrated ability to maintain confidentiality with sensitive materials/information
:Strong attention to detail
:Exceptional project management and coordination skills
:Understanding of business processes and finance fundamentals
:Excellent written and verbal communication skills
:Proven story:telling skills and creative thinking; ability to translate words into images for a senior audience
:Strong administrative skills
:Excellent Excel and PowerPoint ability
:Demonstrated ability to build strong relationships and work with colleagues as well as senior leaders across an organization
